How we look after your information.

When you request a quote, book a survey, or otherwise contact us, we may collect:

• Your name, email address, and phone number
• The address and details of the property to be surveyed
• Approximate property value or price bracket
• Your preferred survey type and timescale
• Any other information you choose to share with us, for example in a message or phone call

If you are referred to us by an estate agent, mortgage broker, or conveyancing solicitor, we may also receive your contact details and basic enquiry information directly from them, with your knowledge as part of that referral.

We use your information to:

• Provide you with a quote and respond to your enquiry
• Arrange and carry out your survey
• Communicate with you about your booking, inspection, and report
• Maintain business records as required for insurance, professional indemnity, and regulatory purposes
• Pay referral fees to professional partners where applicable, and confirm the referral arrangement to you as the client

We do not send marketing emails or newsletters. Any emails or calls from us relate directly to your enquiry or survey.

We process your personal data on the following bases:

• Contract: to provide the survey service you have requested or are considering
• Legitimate interests: to respond to enquiries, maintain accurate business and professional records, and operate our referral partner arrangements
• Legal obligation: where we are required to retain certain records for professional indemnity insurance or regulatory compliance

We may share your information with:

• Our CRM provider, Surveyagent, which stores and helps us manage enquiry and client records on our behalf
• Referral partners (estate agents, mortgage brokers, conveyancing solicitors), only where you have been referred by them, and only to confirm the referral and, where applicable, arrange payment of a referral fee
• Professional bodies or insurers, where required for regulatory, complaints-handling, or insurance purposes

We do not sell your personal data to third parties, and we do not share it for marketing purposes.

Our website does not currently use analytics or tracking cookies. If this changes in the future, we will update this policy and, where required, request your consent before any non-essential cookies are set.

• Enquiries that do not proceed to a booked survey are kept for 6 months before being deleted, unless you ask us to remove them sooner
• Records relating to a completed survey and report are kept for 15 years for surveyors in line with our professional indemnity insurance requirements
• Referral partner records are kept for as long as needed to administer the referral fee and for our own accounting records

Under UK data protection law, you have the right to:

• Access the personal data we hold about you
• Ask us to correct inaccurate data
• Ask us to delete your data, where we are not required to keep it for legal or professional reasons
• Restrict or object to certain processing
• Request a copy of your data in a portable format

If you are unhappy with how we have handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We take reasonable technical and organisational steps to protect your personal data against unauthorised access, loss, or misuse.

We may update this policy from time to time. The date at the top shows when it was last revised.
